Zoom Security Information & VSCS Recording Policy

When using Zoom in your classes, please take special caution around the following areas:

  • Do not share meeting links in non-password protected areas. This would include social media or public websites. Use your Canvas page or VSC provided email direct to students. Do not make your Canvas site open to public view.
  • Always institute a waiting room or password. With a waiting room those looking to join your class meeting will be placed into holding until a host or co-host allows them access. A password would prevent anyone from joining a meeting unless they not only have the meeting room code, but also the password that you set.
  • Schedule class meetings in Zoom. This will create a unique meeting ID for a series of meetings. For example, if you set a recurring class meeting, all class meetings will have the same meeting ID, but any meeting outside of this recurring meeting will not share the same meeting ID.
  • Set your meetings to mute all participants upon entry. This will minimize distractions and prevent unwanted noise from interfering with your meeting.
  • Avoid recording live class meetings. If you do record sessions that include students for any reason, remember that recordings should be FERPA compliant and protected like you would access to any meeting or class. Student should provide permission and links to recordings must only be shared within that class’s Canvas site via  YuJa and only with others in the class.  Please review the VSCS Classroom Recording Policy.
  • Make sure you are running the latest version of the Zoom client. Click the initials or your avatar image in the upper right of the client and choose “check for updates”.If you have concerns or questions around the use of zoom, please reach out to the IT Helpdesk.

Please read Best Practices for Securing Zoom Meetings which goes over meeting settings in more detail.
